Full job description 

Under the supervision of the CEO, the Assistant will be responsible for supporting the CEO in his daily tasks by coordinating activities and administrative follow-up.

As such, the new employee will play a crucial role within the company.

The fields of expertise covered in this role are :

  • Organizational skills and ability to manage priorities;
  • Setting up business processes;
  • Ability to work as part of a team and collaborate with various internal and external stakeholders;

 

Main tasks and responsibilities

As an Administrative Assistant, you will have the following responsibilities:

  • Provide support in the day-to-day management of the team, including project management, budget tracking and monitoring of deadlines;
  • Manage the office by planning material resources and other operational operational needs;
  • Manage the agenda and e-mail requests for the CEO and, as needed, for members of senior management;
  • Plan, coordinate, organize and ensure the logistics of external meetings, committees and events related to the organization's direction;
  • Prepare agendas for committee meetings and gather all necessary documents;
  • Make the necessary arrangements for these meetings and draw up the minutes;
  • Analyze requests addressed to the Chairman and CEO, gathering relevant documentation and information to facilitate rapid and appropriate responses;
  • Performs tasks related to the preparation, correction, translation and layout of documents, reports, presentations and correspondence required by senior management;
  • Ensure the management and organization of documentation related to the main direction;
  • Provide ad hoc administrative support to other departments in the management of specific and temporary files, as required.

 

Desired profile 

Training 

  • Relevant training in administration or office automation;

Experience and knowledge 

  • Ten (10) years of relevant administrative experience;
  • Very good command of the Microsoft suite;
  • Excellent interpersonal skills; 
  • Ability to summarize;
  • Ability to work in a team; 
  • Analytical, autonomous and operational;
  • Excellent verbal and written communication skills;
  • Ability to learn continuously, work under pressure and independently.
